Time Routing will allow you to change how your number operates during different times or dates.
This can be set as regular times of day that recur weekly, or for specific dates and one-off events.
TIme routing can be used for:
- Setting up a recurring schedule
- Setting up one-off dates (click here for Holiday routing!)
Setting up a recurring schedule
Step 1 - Under the Phone System Management menu, click Callflows.
Step 2 - Find the callflow you want to modify and click the edit button.
Step 3 - In your callflow, click on the widget selector and drag a Time routing widget to the canvas.
Place the widget in your callflow when you want it to be activated. In the example below, we are placing it directly underneath the Start widget.
Step 4 - Click on the widget to open the configuration and give your widget a name, then click and drag to create a timeslot on the first day of your time period.
Step 5 - When the settings box opens, give your timeslot a name, and then select any additional days of the week this timeslot will be active, and modify the exact time range if needed.
Step 6 (optional) - If you need to add an additional time period, like extended trading hours on a certain day, you can create a second timeslot for that particular day or date.
Step 7 - When all your timeslots are configured, click anywhere on the canvas to save this widget. You will now see each timeslot has a new node at the bottom of the time routing widget, along with a catch-all node for callers that come through outside any of your specified timeframes (for example, after hours).
Step 8 - Now that the nodes have been created we can add the custom call paths for each timeslot.
Please review our other Help Centre articles for help on configuring custom call paths if needed. For the below example, "Mon-Fri Open" and "Late Thurs" have been connected straight to a dial widget. For our catch-all, (which is everything outside business hours) we have sent this straight to voicemail.
Make sure each call path is fully complete and ends in a Hang Up widget.
Step 9 - Your callflow should now be at 100%.
You can save the callflow as a draft OR save as available to make the change live on all associated phone numbers.
Saving your callflow automatically creates a new version so that you can easily roll back any changes.
Setting up one-off dates
You can also choose to add override dates to your time routing. Override dates can be used to schedule in upcoming days that will override the existing time slots. These are typically used for Public Holidays, but can also be used for ad-hoc days and can be scheduled ahead of time.
To add an override date you can follow the steps below.
Step 1. Click on the override date checkbox in the time routing widget.
Step 2. Select the 'Add Override Date' button in the top of the widget. This will enable you to add a new date
Step 3. Add a description & select the date you wish to add in the override. Note: Override dates will default to cover the whole day. If you only want to add in a partial day, untick the all day checkbox and adjust the time
Step 4. Click save and exit the Time Routing modal screen by clicking anywhere on the callflow page
Step 5. You will now have an additional node on your Time Routing widget. You can connect this node to your normal out of hours flow or create a specific widget to handle override calls.
Note: All override dates added will run through the single override node on your time routing widget
